TERMS AND CONDITIONS

(Applies to all bookings, private and corporate. Corporate bookings are subject to the Corporate Addendum in Section 17.)

1. Booking Terms and Conditions

This contract reflects any prior verbal agreement. It shall include all terms agreed prior to its issue.
The booking is unaccepted unless the booking form and non-refundable booking fee are received by LA Events within 7 working days of the issue date.
No alterations may be made by the client, contracted DJ, or crisis cover entertainers without prior written approval from LA Events.

Please Note: By submitting a booking form, you confirm a binding contract and acceptance of all T&Cs in full.

2. Negotiated Fee

The fee for the booking is a negotiated and agreed final fee.
Any fee agreed in writing reflects the full and final charge for the services provided and does not imply the availability of future discounts.

3. Booking Fee & Overtime
3.1 Booking Fee

A non-refundable booking fee of 15% of the total agreed fee, rounded up to the next £10, is payable in advance to secure the booking and confirm availability. The booking fee forms part of the total agreed fee. The final balance is normally due 30 days before the event.

The booking is not confirmed until the booking fee has been received by LA Events.

3.2 Overtime

Any extension beyond the agreed start and finish times is subject to availability and must be approved in advance by LA Events.

Overtime will be charged at a rate agreed in writing and must be paid in advance. LA Events is under no obligation to provide overtime where prior agreement has not been obtained.

4. Cancellation

The client may cancel by providing at least 28 clear days’ written notice.
Cancellation for reasons other than Act of God or National Disaster will result in forfeiture of any advance payments.

5. Emergency Cancellation & Force Majeure

5.1 If LA Events cannot attend, a suitable substitute will be provided at no additional charge, where possible.
5.2 Force Majeure: LA Events is not liable for non-attendance caused by unavoidable events, including severe weather, transport issues, industrial action, or other circumstances beyond our control.

6. Setup & Breakdown

6.1 Total Event Coverage

The total time required for the booking includes travel, loading/unloading equipment, setup, waiting during the event, performance or live services, and breakdown/de-rig. This total event coverage is restricted to a maximum of 8 hours in any 24-hour period unless otherwise agreed in writing.
Where the event requires extended travel, setup, or waiting periods beyond this limit, the client agrees to provide suitable arrangements for the staff, including overnight accommodation if necessary.

7. Sound Limiters

Clients must notify LA Events if a sound limiter is installed at the venue. LA Events reserves the right to decline bookings if restrictions prevent safe or effective performance.

8. Safe Venue Power Supply

The client confirms that all power sources are safe and compliant with HSE regulations. Copies of venue electrical certificates must be provided on request.

9. Public Liability Insurance

LA Events will provide proof of Public Liability Insurance and certifications as required by the venue.

10. Licenses

The client must ensure all appropriate licenses are in force at the time of performance.

11. Safety & Security

Clients are responsible for guest supervision, including minors under 16 years.
Unacceptable behaviour from guests or venue staff may result in immediate termination of the performance with no refund.
Clients are liable for damage to equipment or property caused by guests or staff.

12. Food & Drink

No food or drink may be consumed near LA Events equipment.

13. Start & Finish Times

Confirmed start and finish times are binding. Extensions require prior agreement and may incur additional charges.

14. Playlists & Requests

Advance requests are accepted in writing. Requests cannot be guaranteed if difficult to source. Guests may not MC, sing, or make speeches unless agreed in advance.

15. Additional Setup & Access

15.1 Early setup requests may incur additional charges and are subject to availability.
15.2 Late access or blocked loading areas are the responsibility of the client, and no refund will be issued.
15.3 Parking costs may be passed on to the client where venue parking is unavailable.
15.4 For outdoor or winter events, the client must ensure safe access and snow/ice clearance.

16. Space, Marquee & Outdoor Venues

16.1 Clients must provide adequate space, power, and safe working conditions for all LA Events equipment.
16.2 Outdoor performances will be cancelled if weather conditions make setup unsafe. LA Events accepts no responsibility for damage caused in unsuitable conditions.

17. Corporate Addendum (Generic)

This section applies to all corporate bookings, including companies, brands, agencies, public authorities, or organisations. It overrides any conflicting clauses in the main T&Cs.

17.1 Booking Authority – The person submitting the booking confirms they have authority to act on behalf of the organisation.

17.2 Fees & Payment Terms – All corporate fees must be agreed in writing; late payment may result in suspension or cancellation.

17.3 Corporate Cancellation – Cancellation within 28 days results in loss of booking fee; within 7 days may incur full fee liability.

17.4 Substitution & Force Majeure – LA Events may substitute staff or equipment where necessary. Unforeseeable events beyond control (force majeure) release liability.

17.5 Setup, Breakdown & Access – Larger corporate packages may require more time depending on equipment, venue layout, and access. Setup/breakdown time is in addition to scheduled event time. Clear access must be provided.

17.6 Technical Requirements & Venue Restrictions – The client must disclose any technical, power, sound, or access restrictions before confirmation.

17.7 Health & Safety – Corporate clients must ensure the venue complies with all applicable H&S legislation. LA Events reserves the right to suspend services if unsafe.

17.8 Branding, Content & IP – Clients confirm they hold all rights to logos, branding, and content supplied. LA Events is not liable for errors in client-supplied materials.

17.9 Conduct & Professional Environment – Abusive or threatening behaviour towards staff will result in immediate termination without refund.

17.10 Interactive Experiences – Participation in services (e.g., HitMix Bingo) is voluntary. Engagement or outcomes cannot be guaranteed.

17.11 Liability – LA Events accepts no liability for indirect, consequential, or commercial loss. Total liability is capped at £3,000 except where prohibited by law.

17.12 Governing Law – These T&Cs, including the Corporate Addendum, are governed by the laws of England and Wales.

17.13 Advance Corporate Bookings, Letter of Intent & Cancellation Liability

For corporate bookings made more than 6 months in advance, LA Events may require a Letter of Intent (LOI) from the client.

The Letter of Intent must confirm:

  • The client’s intention to proceed with the booking on the agreed date(s)
  • The provisional scope of services
  • Acceptance of LA Events’ Terms & Conditions
  • Confirmation that the signatory has authority to act on behalf of the organisation

The Letter of Intent does not replace the formal booking contract but confirms the client’s commitment to the date and allows LA Events to reserve availability, staff, and equipment.

Cancellation within 6 months of the scheduled event date, whether before or after execution of the formal contract, will result in the client being liable for all costs incurred and committed by LA Events in connection with the booking.
This may include, but is not limited to, staffing, equipment allocation, third-party suppliers, administration, and lost opportunity costs. Any booking fees paid are non-refundable and will be deducted from the total amount due.

LA Events reserves the right to decline or release provisional dates if a Letter of Intent is not provided within a reasonable timeframe.

Where cancellation occurs within 6 months of the event date, LA Events may invoice up to 100% of the agreed fee, less any amounts already paid.

18. Dry Hire

Your music. Your party. Your way. Dry hire is available for indoor events within MK postcode areas and customers aged 21 or over.

The DJ Equipment Package includes a DJ booth, mixer, two speakers and party lighting. The customer supplies and controls the music using a phone or approved mobile device; a DJ is not included. LA Events delivers and professionally sets up the equipment, then collects it by 00:00 (midnight).

A Digital Photobooth can be hired separately or together with the DJ Equipment Package. Digital photos are sent directly to guests’ phones; physical prints are not included.

A separate £250 refundable security payment is required for dry-hire equipment. This is distinct from the non-refundable booking fee in Section 3.1. The security payment will be returned within 7 days after the event.

Please confirm your venue, device connection, hire requirements and collection arrangements with LA Events before booking. View our Dry Hire service or contact LA Events.
